Privacy Notice
This notice explains how personal information is processed when you use azusvisa.com, request AZUSVISA services, make a payment or appointment request, or communicate with us. Read this notice and the terms for your selected service before providing the information needed for that service.
1. Provider and scope
The legal name of the service provider responsible for personal-data processing is AZUSVISA. AZUSVISA is an independent administrative-support brand operating in the United States and serving the Azerbaijani market. Privacy contact: visa@azusvisa.com.
This notice covers information received through our website and the contact channels designated for your service. Government websites and other third-party services that you use separately have their own privacy terms.
If a form is expressly marked “demo” or “sample,” its entries and selected files are processed only in the open page’s browser memory; they are not sent to a server and do not create an actual order or payment. Use fictional information in such a form. This limitation does not apply to live service forms or messages you separately send us; browser autofill and page restoration depend on your browser settings.
2. Information we collect
We request information needed for your selected service. Depending on the application and current official requirements, this may include:
- The principal applicant’s, spouse’s and required children’s names, dates and places of birth, citizenship, residential and contact details, marital status, education and other required application information.
- Passport details, copies of relevant passport pages, photographs and other documents when required for the service and official application.
- Your selected package, application correspondence and approvals, appointment date, time zone, video or voice preference, and WhatsApp, Google Meet or Microsoft Teams contact details.
- Order and transaction references, payment amount, currency and status, and refund records. We do not request full card numbers, security codes or bank-account login credentials through our service forms or by email; card details are entered through the selected payment provider’s appropriate payment channel.
- Enquiries and complaints you send us, together with website and hosting records such as IP address, request time, pages requested, browser information and technical errors.
3. Purposes and legal grounds
We use information to answer enquiries, administer orders, check information for technical completeness, prepare and submit an application you have approved, deliver official confirmation, provide purchased support, arrange meetings and account for payments and refunds. Information may also be processed to operate and secure the website, investigate problems, handle complaints and meet applicable legal obligations.
The legal ground depends on the purpose and applicable law. It may include valid consent in the required form, steps you request before a contract and performance of a contract, legal obligations, and legitimate interests only where legally permitted. These grounds are not assumed to operate identically in every jurisdiction.
Where family information, special-category data, an international transfer or another purpose requires separate consent, that consent is obtained in the appropriate form with the purpose separately explained. Browsing the site or reading this notice is not consent to every use. This notice does not replace any required separate consent.
4. Family members and children
Services are ordered by adults. If you provide another adult’s information, you must make this notice available to that person and have the permission and authority required to provide information on their behalf. One family member’s consent is not automatically consent from all other adult family members.
A child’s information must be provided by a parent, guardian or another legally authorized person. We do not ask children to order services or submit information directly. Contact visa@azusvisa.com if family information has been provided without permission or in error.
5. Recipients and international processing
Live website forms are processed through WordPress and Forminator. Submitted answers and uploads may be stored in the website database and hosting environment and delivered to authorized service staff by email according to the form’s actual notification settings. Access is intended for authorized people who need the information to provide the service.
Hosting and technical-support services, email services, the selected payment provider and the selected meeting provider may process information necessary for the services actually used. For example, your selected WhatsApp, Google Meet or Microsoft Teams service processes contact and meeting information under its own terms. The provider to be used is identified before you pay or join a meeting. Mentioning a provider on the website does not mean it is connected to every order.
At your instruction and with your approval, information required for an official application is submitted to the relevant government authority. Disclosures needed to respond to legal demands, protect rights or investigate security incidents are made only as permitted by applicable law. We do not sell your application information or give it to third parties for advertising.
Our U.S. operations and the providers used may involve processing in the United States and other locations outside your country. The applicable legal ground and required safeguards for international transfers must be established; where separate consent is required, it is obtained before transfer. Ask visa@azusvisa.com for information about the providers used and processing locations.
6. Cookies, external content and marketing
WordPress, hosting and services used may rely on technical cookies or similar tools to operate the website, maintain security and continue an order process. If nonessential analytics or advertising tools are used, information about them and the choices and consent mechanism required by law are provided. You can manage cookies in your browser; disabling some cookies may affect particular website functions.
When the site loads external fonts or other external content, the provider may receive technical information such as your IP address and browser details. For example, fonts loaded from Google Fonts are subject to Google’s relevant processing terms. Form answers are not sent as part of a font request.
Necessary order, appointment and application messages are separate from optional marketing. Marketing consent is not a condition of buying a service. Any required separate marketing consent is obtained, and declining it does not affect your order. You can opt out through an unsubscribe facility or by emailing visa@azusvisa.com.
7. Retention
Information is retained for as long as needed for the service purpose, the relevant application process, customer communications, applicable legal and accounting obligations, and handling complaints and disputes. A single fixed period does not apply to every category. Payment and service records may need to be retained for different reasons and periods from passport copies and photographs.
We limit retention of document copies and other sensitive attachments to what is needed. Retention needs are reviewed; information is deleted or de-identified when it is no longer needed and no other lawful reason for keeping it remains. Residual copies may remain in backups through the relevant backup cycle. A deletion request does not remove legal retention duties; we explain the reason if an exception applies.
8. Security and submitting information
We are responsible for applying organizational and technical measures appropriate to the information and processing risks, limiting access to authorized people and reviewing the settings of services used. No website, email service or transmission method can be guaranteed completely secure.
Provide documents only through the channel designated for the service and only to the extent requested. Do not attach passports, medical records or other sensitive documents to an initial enquiry; required documents and the submission method are explained separately. Do not send card security codes or account passwords. Report suspected data-security problems to visa@azusvisa.com without sensitive attachments.
9. Your choices and rights
Depending on your location, the processing and applicable law, you may have rights to access, correct or delete information, restrict or object to processing, obtain data portability, withdraw consent or complain to a competent authority. Send requests to visa@azusvisa.com. We may request necessary and proportionate identity or representative verification to respond within applicable legal deadlines; do not attach identification to your first email.
Withdrawing consent stops subsequent processing based on that consent where no other legal ground exists and does not affect processing lawfully carried out before withdrawal. Withholding necessary information or stopping its processing may prevent part of an order from being fulfilled; we explain the effect and the applicable cancellation and refund arrangements.
Website forms do not make automated decisions about your visa eligibility or a government outcome. Official selection and visa decisions belong to the relevant government authorities.
10. Changes and contact
This notice and its revision date are updated when processing practices change. Any additional notice or consent required for a new purpose is provided before that use begins. Contact visa@azusvisa.com with questions about privacy, providers, retention or your rights.
